About the role

Bundanon has a significant and diverse portfolio of assets, including heritage buildings and gardens, architecturally award-winning modern and contemporary architectural structures, parkland and bushland (including a carbon sequestration project) which is a wildlife sanctuary, farmlands including a farm operation, roads, paths and other infrastructure, plant and equipment.

The Facilities (Property) Manager is responsible for the management of Bundanon’s buildings, as well as roads, pathways and other infrastructure, and plant and equipment, all of which support the delivery of a range of utilities and services across the site.

With the COO as your Manager, you would oversee the management of these diverse assets, be responsible for a small team, and liaise on the delivery of works with various third parties. In particular, we are proud of our relationship with the Traditional Custodians, who work together with us to undertake cultural burns. You would also collaborate with a Natural Resources Manager, who manages Bundanon’s bush and farmlands.

This is a strongly practical, hands-on role in which you will frequently be at work across different parts of the property, as well as work from your office base alongside other staff.

OVERALL RESPONSIBILITIES

In this role, you would:

  • Deliver, monitor and report against the current asset management, heritage management and environmental management plans for the site, in conjunction with the relevant stakeholders
  • Provide input into future revisions of these plans
  • Provide operational support to the successful delivery of Bundanon’s various programs, by the allocation of resources, including the time of yourself and the staff in your team, to undertake tasks inside or external to buildings, as agreed with other relevant managers at Bundanon
  • Manage the upkeep and operations of Bundanon’s buildings, including contemporary and heritage structures; review the Building Management System and address all issues that arise; develop solutions in collaboration with others, in aim to resolve recurrent issues
  • Manage roads, paths and other types of infrastructure, as well as plant, equipment and a fleet of vehicles
  • Manage access across Bundanon’s sites, and ensure staff and visitor safety
  • Manage budgets, supervise staff and undertake reporting procedures
  • Engage and liaise onsite with contractors and other third parties, for the successful delivery of goods and services
  • Monitor and oversee risk management and Workplace Health and Safety procedures and practices

 

Key challenges:

  • To manage the site effectively, sensitive to a balance of the maintenance of contemporary and heritage built assets, and natural environmental assets, with audience access and experience needs
  • To respond effectively to weather events which may range to extreme, with natural disaster. Weather can cause a variety of impacts to Bundanon‘s natural and built assets, and at times create significant challenge to Bundanon’s capacity to deliver its core business.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES

a. Built environment, including contemporary and heritage structures, roads and other infrastructure for services and utilities

  • Manage and maintain Bundanon’s land and buildings, including contemporary and heritage structures, roads and other infrastructure which deliver various services and utilities across the site
  • Review the Building Management System for alerts and fixes, and resolve issues in a timely manner; provide guidance to COO on common issues and consult with the COO on implementation of solutions in aim to permanently resolve recurring issues.
  • Manage and maintain Bundanon’s infrastructure to be fit for purpose, including for transport, security, fire response, hydraulics, electrical etc.
  • Engage relevant external professionals and trade specialists to advise on and undertake required tasks, in a timely and safe manner.
  • For faults and problems, complete an initial assessment to determine whether it is most suitable for Bundanon to address in-house, or to engage external professionals or trade specialists to assess and deliver on short and/or long-term solutions
  • Ensure compliance to WHS / building standards and quality control of contractor work
  • Report against guiding documents to the appropriate Government or other authorities as required.

b. Asset management, including fleet of vehicles, plant and equipment 

  • Maintain a total asset management approach to the management of all Bundanon’s plant and equipment
  • Maintain Bundanon’s water reticulation and sewerage systems
  • Maintain a fleet of vehicles
  • Manage the purchase of capital items, minor plant, property items and white goods etc, in consultation with other relevant managers at Bundanon
  • Ensure all property equipment is maintained at a safe working level

c. Site safety and access management

  • Ensure that procedures in relation to risk management and Workplace Health and Safety are monitored and enacted to the highest level to maximise staff and visitor safety
  • Be the first point of call for all emergencies and alert appropriate agencies and/or attend if necessary
  • Co-ordinate provision of temporary services for public access, functions and events including the management of roads, signage, car parking, rubbish removal, toilet facilities and other required services

d. Budgets, staff and reporting 

  • Report on the budget management of Bundanon’s assets and monitor expenditure and
    income
  • Supervise and develop schedules and work plans for staff
  • Participate in performance reviews of relevant staff and recommend staff development
    opportunities
  • Contribute to Bundanon’s reporting requirements for its public and private funders.
  • Produce reports for Bundanon Trust Board meetings
  • Participate in the management team at Bundanon and attend staff meetings and other
    management activities

e. General requirements 

  • Build strong relationships with the management team, employees and external stakeholders
  • Demonstrate an ability to manage competing priorities and stakeholders

 

SELECTION CRITERIA

Essential

  1. Qualifications in facility management, building maintenance, or a similar course, and/or extensive role relevant job experience. Qualifications such as in cultural and environmental heritage, land and heritage management, or similar, will also be highly regarded.
  2. Demonstrated experience in, and knowledge of, the management of contemporary and/or heritage buildings and infrastructure for services and utilities
  3. Demonstrated experience in managing resources and budgets
  4. Demonstrated experience in managing staff (in any type of prior role, ideally in a similar role)
  5. Prior experience in engaging and supervising contractors and other third parties is desirable.
  6. Demonstrated experience of working within a multi-disciplinary team
  7. Highly developed problem-solving, analysis, research, reporting and evaluation skills.
  8. Excellent negotiation, inter-personal and communication skills.
  9. Excellent skills with computer software, ideally with experience across the Office 36 suite
  10. Existing knowledge of WH&S and Equal Opportunity, with a commitment to know about and comply with the range of other federal and state legislation that is relevant to this role; experience of working to legal frameworks in your prior roles

You will have or be required to obtain:

  • Current NSW Working with Children Check
  • Federal Police Check
  • Current NSW Class C driver’s license
  • Up to date COVID-19 vaccination
